A product that does one well may still leave the rest of your accounting work untouched.
For an Indian business considering a new accounting platform, Zoho Books is a starting point. If your team already uses Tally and spends hours entering documents, examine Vyapar TaxOne. HostBooks’ Zeno is relevant to document processing connected to ERP, while Refrens offers document scanning and a separately charged AI assistant.

How this comparison was prepared
We reviewed vendor documentation, feature pages and published pricing on 26 September 2026. We compared the work each product handles, how it connects to accounting records, and the purchase conditions a business needs to establish.
This is a documentation-based comparison. We have not conducted a hands-on accuracy benchmark or measured customer time savings. The demonstration checklist below is a suggested evaluation method, not a report of tests we performed.
What counts as AI in accounting software?
AI accounting features can read documents, suggest how transactions should be recorded, answer questions about financial records or highlight unusual patterns. The important distinction is what the software does with its output: display a suggestion, prepare a draft or change a record.
Recurring invoices, scheduled reminders and fixed transaction rules are useful automation, but their presence alone does not establish an AI capability. Likewise, OCR can extract an invoice total without establishing whether its tax treatment or ledger allocation is appropriate.

What matters in 2026
Vendors increasingly describe assistants that can create records or carry out tasks, as well as answer questions. This makes permissions and review controls part of the buying decision. Ask what an assistant can change, whose access rights it follows and how its actions appear in the activity history.
Availability deserves equal attention. A feature on a product page may require activation, a paid add-on, a particular edition or an early-access invitation. Ask for a demonstration in the configuration you would actually buy.
India-oriented AI accounting options
1. Zoho Books: AI assistance within an accounting platform
Zoho Books is worth examining when you want AI assistance within the system used to maintain your accounts.
Its India help documentation describes Ask Zia for retrieving information and creating records, CoCreate for assistance with entries, and report views with forecasts and anomaly insights. These are distinct capabilities; a general reference to “Zia” does not tell you which are available in your organisation.
The availability detail that matters: AI-suggested bank statement categorisation is marked Early Access and requires contacting support. Do not assume it is enabled when you subscribe.
During a demonstration, ask a financial question, inspect the records behind the answer and follow an assisted entry through to review. Confirm the edition, enabled AI provider or model, usage allowances and any additional charges.
Pricing: Use the India pricing page to select the accounting plan, then obtain confirmation of the AI functions included. A starting subscription price is not a quote for every AI capability.

2. Vyapar TaxOne: document automation for Tally workflows
Vyapar TaxOne, formerly Suvit, is relevant to teams that want to reduce document entry while retaining Tally. Its published plan lists imports from bank statements, spreadsheets, PDFs and invoice images.
Ask the vendor to process a representative batch into a test company. Compare the resulting ledgers, dates, tax amounts and attachments with the source documents. Include an existing voucher to see how duplicate imports are handled.
There is a purchase detail to resolve: the subscription FAQ lists document collection, WhatsApp automation and practice management, while the navigation labels TaxOne Chat (PMS) as “Coming Soon.” Request a demonstration of the functions currently included in your quote.
Pricing: At the review date, the Unlimited Plan was advertised at ₹10,000 per year, discounted from ₹20,000, with GST extra. Confirm renewal pricing, users and module availability before paying.

3. HostBooks: document processing connected to ERP
HostBooks’ HB Zeno is a document processing agent. The vendor describes extraction, validation against ERP records, error or duplicate detection, and synchronisation with ERP systems.
This makes it relevant when the problem extends beyond typing invoice fields. A finance team may also need to match supplier records, resolve discrepancies and pass approved data into an operational system.
Use a purchase invoice with an incorrect supplier detail or a mismatched amount in the demonstration. Watch where the document stops, who receives the exception and how the correction reaches the ERP. That tells you more than a demonstration using only clean invoices.
Pricing and scope: Request an itemised quote for Zeno, the accounting or ERP modules, integration, implementation and support. Do not assume the document agent is included in every HostBooks accounting package.
4. Refrens: document scanning and an optional AI assistant
Refrens deserves a look when invoicing and accounting are your starting requirements and you want to add document capture or conversational assistance.
Its pricing page treats AI OCR scanning and Freya AI Accounting Assistant separately. OCR allowances vary by plan; Freya is listed as additionally chargeable. Access to document scanning therefore does not establish that the assistant is included.
The free Basic plan lists 15 documents and a separate allowance of 15 AI OCR scans per month. These are different limits. The selected accounting plan also matters: functions such as GSTR-2B reconciliation appear in Accounts Pro, rather than being a blanket free-plan entitlement.
Pricing: Compare the required accounting tier, scan allowance, users and Freya charge together. Ask how extra scans are billed and which records the assistant can access.

Global and specialist platforms to assess separately
The following products address different combinations of accounts payable, bookkeeping, ERP and payments. An Indian company with overseas entities may have reasons to consider them, but global availability does not establish support for its local banking or tax workflow. Obtain written confirmation for each entity and country involved.
5. Vic.ai: accounts payable and invoice processing
Vic.ai focuses on accounts payable, including invoice processing, purchase-order matching and approvals. It is a specialist to evaluate when supplier invoice volume and exception handling create a substantial workload.
The critical demonstration is an invoice that does not match the purchase order. Examine how the system handles the discrepancy, routes it for review and transfers the approved record to your ERP. Include partial deliveries and credit notes if those are common in your business.
Published accuracy or no-touch processing figures should not become assumptions in your business case. Your document quality, coding structure and approval requirements determine how much review remains.
Commercial check: Request pricing against your invoice volume, integration and implementation scope. Establish country support and the responsibilities of both vendors when a transfer fails.
6. Zeni: bookkeeping with finance services
Zeni combines AI bookkeeping products with finance services and offers AI Accountant and AI CFO capabilities. It belongs on a different shortlist from software that your own staff operate entirely themselves.
For a business considering outsourced bookkeeping, the service agreement matters as much as the interface. Establish who reviews transactions, resolves queries and signs off the month-end work. Ask which tasks remain with your team and what happens when records arrive late.
Confirm that the service supports your legal entities, reporting requirements and banks. A product demonstration cannot substitute for this scope agreement.
Commercial check: Obtain a proposal separating bookkeeping, human support and any additional finance services. Do not assume tax, payroll or CFO support is bundled into the package being discussed.
7. Docyt: accounting and ERP for multiple locations
Docyt now positions itself as an AI-native ERP for hotels, restaurants, retail and franchises. Its published offering covers bookkeeping and reconciliation, with integration and migration options involving multiple accounting systems.
Assess the current product rather than treating it only as a QuickBooks add-on. For a business with several properties or outlets, the useful demonstration follows one location’s sales, expenses and bank activity through to the combined reporting view.
Check how the proposed setup handles location access, shared expenses, corrections and data migration. If your entities operate in India, verify local tax requirements, banking connections and support explicitly.
Commercial check: Request a quote covering locations, entities, integrations, migration and ongoing service. Vendor accuracy figures are not a substitute for testing your own mix of transactions.
8. BILL: invoice capture, payments and spend workflows
BILL documents AI extraction of invoice information, duplicate invoice warnings and receipt matching. These capabilities are relevant when the bottleneck is collecting, approving or paying bills.
Evaluate it alongside the ledger where your final accounting records will sit. Follow a bill through capture, approval, payment and synchronisation, then correct it and check both systems. A successful initial transfer does not demonstrate how later changes are handled.
Before spending time on configuration, confirm eligibility for the particular payments or spend product. Ask about the legal entity, bank accounts, countries and currencies you intend to use.
Commercial check: Obtain the full cost for users, payment methods, transaction charges and integrations. Keep the payment workflow and the general ledger requirements separate in your evaluation.
How to test AI accounting software before buying
Choose two candidates that solve the same problem. Give both the same sample records, with permission to use them or with sensitive details removed. Include documents that normally cause your team difficulty.

Have the person who maintains your books join the demonstration. They will often recognise exceptions that a standard sales presentation leaves out.

Can AI accounting software post entries without approval?
That depends on the feature and its settings. Some functions suggest values or create drafts; others can take actions. Before enabling automatic posting, establish which records it can change, what requires approval and how actions are logged or reversed. Ask to see these controls in your proposed edition.
Does AI remove the need to review GST work?
No. Reading an invoice correctly does not establish the appropriate tax treatment. Have your accountant review the output and distinguish return preparation, reconciliation, file export and submission. If e-invoicing is required for your business, verify that workflow separately in the edition you intend to buy.
What should I check before giving an AI assistant access to financial data?
Ask which data reaches the AI provider, where it is processed and whether it is used for model training. Review retention, deletion, access permissions and the effect of disconnecting the integration. Request documentation that covers the AI feature itself, as well as the main accounting platform.
