Workflow Automation Services
Your CRM, accounting, HR and inventory systems probably don't talk to each other — so someone retypes the same order, invoice or employee record two or three times a day. We connect the software you already run so data, approvals and notifications move on their own, without ripping out and replacing anything that already works.
The platforms we connect your systems with
Which one fits depends on what your systems support — a modern API-based app integrates differently to a desktop program with no API at all.
Built to sit natively between Zoho Books, Zoho CRM, Zoho People and Zoho Invoice, with on-premise connectors for SQL databases and SAP. The obvious choice if your stack already leans Zoho — see our accounting software and CRM software pages.
Cloud flows between Outlook, SharePoint, Teams and Excel are usually already included in a Microsoft 365 licence. The moment a flow needs Salesforce, SAP or another premium connector, the seeded licence stops working and Premium becomes worth pricing.
9,000+ app connectors, useful when your stack mixes vendors outside Zoho or Microsoft. We cover Zapier's AI-agent features on our AI automation page — this page is about the plain, non-AI workflow layer.
When a system genuinely has no API — an older desktop Tally install, a legacy billing package — robotic process automation drives the screen the way a person would. It works, but it's more brittle and costs more to maintain than an API integration, so we only reach for it when there's no alternative.
This page covers connecting the systems you already run. If the AI agents and LLM-driven side of automation is what you're after, see AI automation; for department-specific automation, see customer support automation and marketing automation; for the software itself rather than the connections between it, see business automation.
Where manual work actually breaks down between systems
The figures below come from McKinsey Global Institute's 2025 research on automation and UiPath's and Zapier's published 2025–2026 surveys, not our sales deck.
The same record gets typed into three systems by hand
McKinsey Global Institute's latest analysis finds that activities requiring reasoning and information processing — the bulk of data entry, reconciliation and record-keeping — make up about 40% of total US wages and are among the most automatable work that exists today. In practice that's the order that lands in your CRM but has to be typed again into billing, and again into inventory, because nobody connected the three.
This is the highest-ROI starting point on this page precisely because the workflow already exists — you're not designing a new process, you're removing the retyping from one that already runs, which is also why our guide to enterprise CRM systems and cloud inventory management both flag integration as the first thing to check before buying new software.
Approvals and handoffs stall in someone's inbox
Purchase orders, expense claims, leave requests and onboarding paperwork routinely wait on one person to notice an email. Zapier's own published research finds that IT teams using automation cut upwards of 30 minutes off every support ticket just by routing and triaging automatically — the same pattern applies to any approval chain, whether it runs through your HRMS, your payroll software, or a shared inbox.
More than 90% of RevOps teams already use some form of automation for exactly this reason: it's not a new capability, it's table stakes for anyone managing more than a handful of handoffs a week.
Reporting is built by hand, every single time
Pulling numbers from separate systems into a spreadsheet before a meeting is one of the most common — and most avoidable — manual workflows we see. If your BI and analytics stack already has API access to your CRM, accounting and inventory data, a scheduled workflow can assemble the report before anyone asks for it, rather than an employee spending an afternoon copy-pasting.
Agentic automation is arriving, but most of the ROI today is still in plain workflow automation
UiPath's 2025 research found that three in four automation professionals are already using or experimenting with agentic automation — AI that decides what to do next rather than following a fixed script. That's a real and fast-moving trend, and it's what our AI automation page covers in depth.
The trap: "experimenting with" is not the same as "running in production and trusted with real money or real customer data." For most businesses in 2026, a well-built, boring, deterministic workflow — the kind covered on this page — still delivers more reliable ROI per rupee than an early-stage agent, precisely because it does the same thing the same way every time.
Three ways to engage us
Scroll horizontally on mobile. Every engagement starts from a scoping call that looks at your actual systems, not a generic template.

We quote after a scoping call, because connecting two cloud apps over an API and automating a legacy desktop system with RPA are very different jobs. The scoping call is free.
Process Mapping & Automation Audit
A clear map of every manual handoff between the systems you run today, ranked by time cost and error risk.
We walk your actual processes — order to invoice, applicant to payroll, purchase request to approval — and note every point where someone re-keys data or waits on an email. Each one gets scored on frequency, time cost and how expensive the errors are when it goes wrong, then matched to whichever platform actually fits (API integration where one exists, RPA only where it doesn't).
What you get
A process and systems map across your key workflows, a scored shortlist of automation candidates, a platform recommendation for each (Zoho Flow, Power Automate, Zapier or RPA), and a prioritised roadmap your team or ours can build from.
What it's not
It's not a build — you get the map and the priority order, not working automations. And it's not a push toward the platform we happen to prefer: if your systems already have a native integration that covers the gap, we'll say so instead of proposing a new tool.
Best for: businesses running several disconnected systems who aren't sure which manual step is actually costing the most, and anyone who has outgrown "someone remembers to update the spreadsheet."
Workflow Build & Systems Integration
We design, build and connect the workflows across your CRM, accounting, HR and inventory systems.
Typical scope: connecting your CRM to your accounting software so a won deal creates an invoice automatically, wiring approval routing for expenses or POs, or syncing your HRMS and payroll so a new hire's record only has to be entered once.
What you get
Everything in the audit if you haven't already run one, plus design and build of the agreed workflows, error and exception handling defined upfront (what happens when a sync fails), staff training, and a before/after report against the baseline agreed at kickoff.
What it's not
Not a platform replacement — if the audit shows a real gap in your software rather than a missing connection, we'll point you to the right system instead, such as cloud ERP or billing software. And not unlimited scope: the build ships the agreed workflows, deliberately.
Best for: businesses with a confirmed list of manual handoffs — from the audit or from lived experience — ready to have them connected.
Managed Workflow Operations
Ongoing monitoring and maintenance so your automations keep working as your software stack changes.
Workflows break quietly — a vendor changes an API field, someone renames a column, a new approval step gets added outside the flow. A managed retainer catches failed runs before they become a backlog of unsynced records, and adds the next workflow on a predictable schedule instead of in expensive, occasional bursts.
What you get
Active monitoring for failed or exceptioned runs, maintenance as connected systems change their APIs or fields, one new workflow scoped and shipped roughly each quarter, and monthly reporting on time saved and error rate against your baseline.
What it's not
Not worth it for one simple, stable workflow — the value is in managing a growing portfolio. If you have a single flow and no plans to add more, our post-launch support during the build engagement is usually enough.
Best for: businesses running automation across three or more systems that don't want a silent failure to go unnoticed for a month.
How an engagement runs
The same sequence every time, because skipping a step is how a workflow ships broken.
- Scoping call (free). We map your current software stack — which systems you run, whether they have APIs, and which manual steps connect them today.
- Process audit. Each manual handoff scored by frequency, time cost and error risk, so the highest-value fixes surface first rather than the most visible ones.
- Platform selection. Zoho Flow, Power Automate, Zapier or RPA, chosen by what your specific systems actually support — not by which tool we're most used to selling.
- Build and test. Workflows built and run against real (or sandboxed) records before going live, with a defined answer for what happens when a step fails.
- Launch and monitor. We track failed runs, exceptions and time saved against the baseline agreed at kickoff.
- Review and expand. Monthly report on what's working; the next highest-value manual step gets scoped next.
How we work — and what we won't claim
Automation vendors routinely oversell hours-saved numbers. Here's where we stand.
- We match the platform to what your systems can actually do. API-based integration (Zoho Flow, Power Automate, Zapier) wherever an API exists; RPA only where it genuinely doesn't, because screen-based automation is more brittle and costs more to maintain over time — and we'll tell you which one your situation needs before quoting either.
- Workflow automation and AI automation are not the same service. This page is the connective-tissue layer between the software you already run. Agents, copilots and LLM-driven decision-making are covered on our AI automation page — some engagements use both, but we scope and price them separately because they carry different risks.
- We won't quote a flat "hours saved" figure before an audit. The 57%, $2.9 trillion and 75% figures on this page are McKinsey's and UiPath's published research on the US economy and automation professionals generally — useful context, not a promise about your specific process mix.
- We'll tell you when the problem isn't a missing connection. Sometimes two systems aren't talking because one of them is the wrong system for the job, not because nobody built the integration — in that case we'll point you to the underlying software rather than automate around a gap.
- Legacy and on-premise system costs are disclosed upfront. RPA licensing for a desktop system like an old Tally install is a real, ongoing cost — not a surprise that shows up after the build is finished.
Frequently asked questions
What is workflow automation, and how is it different from AI automation?
Workflow automation connects the systems you already run — CRM, accounting, HR, inventory — so data, approvals and notifications move between them without a person retyping anything. It's largely deterministic: the same trigger produces the same result every time. AI automation covers the layer where an AI model makes a judgment call — drafting a reply, classifying a request, or acting as an agent. Many businesses need both, but they're different services with different risk profiles.
Which of my existing systems can be connected?
Most modern, cloud-hosted software has an API and can be integrated directly — CRM, accounting, HRMS, payroll, billing and inventory software all typically qualify. Older desktop-only programs without an API — a legacy Tally install, for instance — need RPA instead, which is slower to build and costs more to maintain, so we'll always check for an API first.
Do I need to replace my software to automate the workflow between systems?
No — that's the point of this service. We connect the systems you already have rather than migrating you to new ones. If the audit finds that a system is genuinely missing a capability rather than just disconnected from the others, we'll say so and point you to the right business software, but replacing something that works is the last option, not the first.
What's the difference between RPA and a platform like Zoho Flow or Power Automate?
Zoho Flow, Power Automate and Zapier connect systems through their APIs — clean, structured data exchanges that are relatively cheap to build and maintain. RPA (robotic process automation, such as UiPath) instead drives a screen the way a person would: clicking buttons, reading fields, typing values. It's the only option for software with no API, but it's more fragile — a moved button or a UI update can break it — so we reserve it for cases where an API genuinely doesn't exist.
Can you automate workflows involving Tally or other legacy desktop software?
Often, yes, via RPA rather than an API integration, since most legacy desktop accounting and billing packages don't expose one. It's a real capability but a different cost and maintenance profile than integrating two modern cloud apps, and we'll always tell you which category your systems fall into during the scoping call rather than after.
How much does workflow automation cost?
We quote after a free scoping call, because connecting two cloud apps over an API and automating a legacy desktop system with RPA are genuinely different jobs with different tool costs on top of our fee. The audit is the smallest fixed-scope engagement and the usual place to start if you're not sure what's worth building yet.
Do you guarantee a specific number of hours saved?
No. Published research — McKinsey's finding that 57% of current US work hours are technically automatable, for instance — describes the economy-wide potential, not a guarantee for your specific process mix. What we commit to is measuring your actual baseline before we build anything and reporting honestly against it afterward, including flows that underperform.
How is this different from your Business Automation, Customer Support or Marketing Automation services?
Business automation covers the underlying software itself; this page covers the connections between the systems you already have. Customer support automation and marketing automation apply that same connective layer to specific departments. If you already know which team needs help, start on the relevant page; if the problem spans several systems at once — which is most of the time — this page and the audit above are the right starting point.
