Six CRMs, priced in rupees and ranked for Indian SMBs

Most CRM comparisons rank on features, which is the wrong lens for a fifteen-person company. The feature lists converge; the pricing models do not. A CRM that costs ₹400 a user is cheaper than a ₹12,999 flat fee until your thirty-third user, and more expensive from then on. That single fact reorders the whole shortlist.

Four things that decide whether a CRM survives

Most CRM projects don't fail on features. They fail on price structure, on where leads come from, and on whether the sales team can be bothered to update it.

Your leads arrive on WhatsApp and IndiaMART, not a web form

A CRM designed in San Francisco assumes leads land through a website form and are worked by email. In India a large share arrive as a WhatsApp message, a missed call, or an enquiry sitting in an IndiaMART or JustDial inbox. If the CRM cannot pull those in automatically, someone is copying them across by hand, and within a month they have stopped.

Kylas auto-captures leads from IndiaMART, JustDial and TradeIndia directly, alongside Google and Facebook ad leads and its own web forms, and has WhatsApp Business built into the platform. Bigin includes WhatsApp Business integration from its ₹400 Express plan, along with lead capture from Facebook, Instagram, LinkedIn and TikTok ad forms. This is the single most India-specific thing to test on a demo, and it is where imported CRMs quietly cost you leads.

The test: send a WhatsApp enquiry to your own business number during the demo and ask the vendor to show it becoming a CRM record. If that involves copy-paste, your team will not do it.

The advertised price is rarely the price you pay

Three different pricing models are in play across these six, and comparing headline numbers across them is meaningless. Bigin, Zoho CRM, Freshsales and LeadSquared charge per user per month. Kylas charges one flat fee regardless of headcount. HubSpot combines a per-seat charge with a metered credits balance, so its bill moves with usage rather than headcount alone. And LeadSquared quotes in dollars while everyone else quotes in rupees.

Then come the add-ons. Kylas's flat fee looks unbeatable until you notice that email tracking is ₹800 a month extra, BI and analytics ₹5,000, goals ₹2,500, phone support ₹5,000, and onboarding a one-time ₹25,000. Its field-sales tracking is charged at ₹400 per user per month, which quietly contradicts the "no user cost" promise on the same page. Work out your real monthly figure with the add-ons your process actually needs, not the number on the pricing card.

A CRM nobody updates is worse than the spreadsheet it replaced

A spreadsheet that is 70% accurate and known to be 70% accurate is workable. A CRM that is 70% accurate but treated as authoritative produces confident, wrong forecasts and follow-ups that never happen. The failure mode is not the software; it is a sales team that sees data entry as overhead with no return to them.

Two things fix this more reliably than any feature. First, the mobile app has to be good enough to update a deal from a customer's car park, because that is when it actually gets done. Second, whatever the reps need for their own work — the quotation, the follow-up reminder, the call log — should live inside the CRM, so using it is the path of least resistance rather than an extra chore. Kylas builds quotations natively; Bigin has a business-card scanner and built-in telephony.

Quotations and pricing structure are where Indian CRM diverges

For a trading, manufacturing or services SMB, the CRM's real output is a quotation. It needs your products with their prices, categories and HSN codes, it needs to produce a document a customer will accept, and it needs to track what happened to it. Imported CRMs often treat quoting as an add-on or push it to a separate tool.

Kylas includes quotation management with products carrying HSN codes on every plan including the free one. LeadSquared includes quote creation and management on both its tiers. If quotes are a daily part of your sales motion, this is worth more than most of the AI features being marketed at you — and it is the natural handoff point into your billing software and accounting system.

The number that decides it

Flat fee versus per user: where the lines cross

Kylas charges ₹12,999 a month however many people use it. Everyone else charges per user. So for every competing plan there is a team size at which Kylas becomes the cheaper option. Here is that number, calculated from each vendor's published rate.

Break-even is Kylas's ₹12,999 flat monthly fee divided by each plan's per-user rate, rounded up to the next whole user. All rates are the annual-billing prices published by each vendor on 1 August 2026, before tax and before any add-on.

At five users Kylas is the most expensive option on the table. At fifteen it is line-ball with Zoho CRM Standard. At fifty it costs a third of Zoho CRM Standard and under a fifth of Zoho CRM Professional. If you expect to double the sales team within the subscription term, run the maths on the headcount you are growing into, not the one you have.

"Not mentioned" means we found no statement either way on the vendor's pricing or feature pages as of 1 August 2026. It is not proof of absence — several of these capabilities exist via marketplace integrations that pricing pages don't list. Treat every amber and grey cell as a demo question with your own data loaded.

01 — The lowest-risk way off spreadsheets

Zoho Bigin

A deliberately small CRM at ₹400 a user, with WhatsApp, telephony and payment links included rather than sold separately.

Express, billed yearly₹400/user/month

Bigin is Zoho's small-business CRM, and its restraint is the point. The Free plan covers one user, 500 records and a single pipeline. Express at ₹400 per user per month billed yearly adds three team pipelines, 50,000 records, WhatsApp Business and email integration, 30 automations and mass email. Premier at ₹720 raises that to five pipelines and 100,000 records with AI features and 1,000 monthly credits. Bigin 360 at ₹1,080 goes to fifteen pipelines and a million records.

For an Indian SMB the Express plan is unusually complete for the money. WhatsApp Business is in it, not held back for a higher tier. Payment links work through Razorpay and Paytm alongside Stripe and PayPal. There is a built-in phone with call recording on the free plan, a business-card scanner in the mobile app, and lead capture from Facebook, Instagram, LinkedIn and TikTok ad forms.

Zoho also publishes unusually fair terms: cancel any time with no penalty, a full refund within 30 days on monthly plans or 45 on annual, prorated credits on downgrades, and no lock-in. Free onboarding is included on paid plans, which none of the other five commit to on their pricing page.

What you get

The cheapest paid plan here by some distance. WhatsApp Business, built-in telephony, mass email and 30 automations at ₹400. Razorpay and Paytm payment links. Business-card scanning. One-click migration from Pipedrive, HubSpot, Insightly and Zoho CRM, and a one-click upgrade path into Zoho CRM when you outgrow it. Free onboarding, no lock-in and a real money-back guarantee.

What it's not

It is a pipeline tracker, not a full CRM — three pipelines and 50,000 records on Express will bind a growing team, and the answer is to buy add-ons or move up to Zoho CRM. No IndiaMART or JustDial capture is documented. Quotations aren't mentioned. And the pricing page states both that prices are inclusive of local taxes and that local taxes are charged in addition, which is worth clarifying before you sign.

Best for: teams of one to ten leaving spreadsheets or a shared inbox, especially where WhatsApp is the main sales channel and the budget needs to stay under a few thousand rupees a month.

02 — The only one where headcount is free

Kylas

A flat ₹12,999 a month for unlimited users, built in Pune, with the most India-specific lead capture of the six.

Elevate, flat fee₹12,999/month

Kylas sells three plans and all of them include unlimited users. Embark is free for life. Elevate is a flat ₹12,999 a month with 100,000 records, 30 workflows, 30 email templates, 25 custom fields and 100 GB of storage. Exceed is custom-priced with higher limits and a named account manager.

The flat fee is the headline, and for a growing sales team it is genuinely different: taking on five more reps changes your bill by nothing. Against Zoho CRM Professional you are ahead from ten users; against Freshsales Pro from five. Underneath that, the India-specific work is real. Leads auto-capture from IndiaMART, JustDial and TradeIndia. WhatsApp Business is built in. Quotations carry products with prices, categories and HSN codes on every plan including the free one. Location-based lead routing sends enquiries to the right territory automatically.

Read the add-on list before you budget, though. Email tracking is ₹800 a month, goals ₹2,500, multi-currency ₹2,500, security features ₹2,500, BI and analytics ₹5,000, phone support ₹5,000 and an account manager ₹10,000. Onboarding is a one-time ₹25,000. And field-sales tracking — live location, geo check-in — is ₹400 per user per month, which sits awkwardly beside the "No User Cost" promise printed at the top of the same page.

What you get

Unlimited users on every plan, including the free one. IndiaMART, JustDial and TradeIndia lead auto-capture, which nobody else here documents. WhatsApp Business inside the CRM. Quotation management with HSN codes from the free tier up. Location-based lead routing. A lifetime-free plan rather than a trial. And a pricing model that stops punishing you for hiring.

What it's not

Expensive below about fifteen users — at a five-person team it is the dearest option on this page. The add-on list is long and several items most teams would consider core, like email tracking and analytics, sit outside the flat fee. Onboarding is a ₹25,000 one-time charge. The free plan's own page contradicts itself on the record limit, showing 10,000 on the plan card and 1,000 in the comparison table below it. Ask which is right.

Best for: sales teams of fifteen or more, or smaller teams planning to double, where leads come from Indian marketplaces and quoting is part of the daily motion.

03 — Where Bigin graduates to

Zoho CRM

Four tiers from ₹800 to ₹2,600 a user, free for three users, and the deepest integration ecosystem at this price point.

Zoho CRM prices four tiers per user per month on annual billing: Standard at ₹800, Professional at ₹1,400, Enterprise at ₹2,400 and Ultimate at ₹2,600. There is a free edition for up to three users. Standard covers workflows and assignment rules; Professional adds CPQ for configured quotes; Enterprise adds an AI sales assistant and deep customisation; Ultimate raises feature limits.

The reason to choose it over Bigin is headroom rather than any single feature. Bigin caps pipelines and records deliberately; Zoho CRM does not, and it plugs into the wider Zoho suite — Books, Desk, Campaigns, Analytics — which matters if you are already running Zoho elsewhere in the business. Migration from Bigin is a single click, so starting small and moving up is a supported path rather than a rebuild. If you need sales, marketing, support and analytics bundled rather than bought separately, Zoho CRM Plus packages them as one subscription — worth pricing against buying the parts individually.

The step from Standard to Professional roughly doubles your bill, and it is the step most SMBs actually need, because CPQ and stronger automation live there. Budget on Professional at ₹1,400 if quoting matters, which puts a ten-person team at ₹14,000 a month — just past the point where Kylas's flat fee wins.

What you get

A free edition for three users, which is enough to prove the process before spending. Four tiers with real headroom above Bigin. CPQ from Professional. An AI sales assistant at Enterprise. The widest integration ecosystem of anything in this price band, and native links into Zoho Books, Desk and Campaigns. One-click migration up from Bigin.

What it's not

Per-user pricing that gets expensive fast for a larger team: fifty users on Professional is ₹70,000 a month, versus ₹12,999 flat on Kylas. IndiaMART and JustDial capture aren't documented. Onboarding cost isn't stated on the pricing page. And the tier you probably need is Professional, not the ₹800 Standard the marketing leads with.

Best for: businesses already using Zoho apps, or teams under about ten people who need more depth than Bigin and want room to grow without changing vendor.

04 — Cheap to start, expensive to grow into

Freshsales

Indian-built by Freshworks, competitive at ₹749 — then a 4.3× jump to the tier most teams end up needing.

Freshsales prices three tiers per user per month on annual billing: Growth at ₹749, Pro at ₹3,239 and Enterprise at ₹4,899. Growth is positioned for startups and SMBs and covers Kanban pipeline views, contact lifecycle stages, chat, email and phone, email templates, custom fields and basic workflows. Pro adds contact scoring, deal insights, custom sales activities, territory management and sales sequences. Enterprise adds forecasting insights, field-level permissions, custom modules, a sandbox and audit logs.

Growth is a genuinely competitive entry price and Freshworks is an Indian company with local support, which counts for something. But the gap between Growth and Pro is the sharpest on this page: ₹749 to ₹3,239 is a 4.3× increase, and the features that sit behind it — sales sequences, territory management, lead scoring — are exactly the ones a team reaches for once the CRM is embedded.

Do that arithmetic early. Ten users on Growth is ₹7,490 a month; the same ten on Pro is ₹32,390, which is two and a half times Kylas's flat fee for unlimited users. If your process needs sequences or scoring, Freshsales stops being the cheap option very abruptly.

What you get

A strong entry price at ₹749 with Kanban pipelines, contact lifecycle stages, and chat, email and phone in the base tier. An Indian vendor with local presence and support. Clean, well-regarded interface. Native INR pricing published plainly. And a 20% saving for annual billing stated openly on the page.

What it's not

The Growth-to-Pro cliff is severe and lands precisely where a maturing sales team needs to go. No free tier, only a trial — unlike Bigin, Zoho CRM, Kylas and HubSpot. WhatsApp integration, mobile app detail, telephony depth and onboarding costs aren't itemised on the pricing page, so several capabilities that competitors state plainly have to be confirmed on a demo.

Best for: small teams that want a polished product from an Indian vendor and can genuinely live within the Growth feature set — and who have checked what Pro would cost them before committing.

05 — Field sales and high-volume lead flow

LeadSquared

Bengaluru-built and strongest of the six on mobile field sales — but priced in dollars, with no free tier.

LeadSquared prices its Sales CRM in two tiers billed annually: Sales Pro at US$60 per user per month and Sales Super at US$100. Both include unlimited contacts, quote creation and management, lead scoring, advanced lead distribution, opportunity management and a full mobile CRM. Super adds offline mode, geo-fencing on activities and tasks, audit logs, unlimited workflow automation and the LAPPS development platform.

Where it separates from everything else here is field sales. Check-in and check-out tracking, Leads Near Me, activity and task geo-fencing, speech-to-text and image-to-text capture, mobile cloud calling and an optional white-labelled app. If your sales team spends its day visiting customers rather than sitting at desks, this is the most complete mobile CRM on the page by a distance. It is also built for high-volume lead flow, which is why its named verticals are education, lending, insurance, healthcare and real estate.

The catch for an Indian SMB is the price and how it is quoted. LeadSquared is headquartered in Bengaluru, but its Sales CRM pricing page publishes only US dollars — the only one of these six not to show a rupee figure. That makes a like-for-like comparison with the rest of this page impossible without assuming an exchange rate, so we have left it out of the cost tables rather than invent one. There is no free tier and no self-serve signup either; every plan routes through a "Let's Talk" form.

What you get

The most complete field-sales toolkit here: check-in and check-out, Leads Near Me, geo-fencing, offline mode on Super, mobile cloud calling, and speech and image capture. Quote creation on both tiers. Unlimited contacts. Lead scoring and advanced distribution as standard. ISO 27001 and SOC 2 Type 2 compliance, with Indian data centres. And special pricing for qualifying startups.

What it's not

Dollar pricing from an Indian company, which for a rupee-budgeting SMB means currency exposure and no directly comparable number. At US$60 per user it is far above the rupee-priced options here for a small team. No free tier, no trial listed, and no self-serve purchase — everything goes through sales. Several capabilities you might expect, including territory management and the analytics platform, are optional add-ons rather than in-plan.

Best for: businesses with a genuine field-sales force or very high inbound lead volume — education, lending, insurance, healthcare, real estate — where mobile tracking earns back the higher price. Not a first CRM for a ten-person office team.

06 — Excellent free tier, opaque paid one

HubSpot

Free tools for two users that genuinely work, above a paid tier priced per seat with a credits system layered on top.

HubSpot's free tools cover marketing, sales, service, content, data and revenue, free for up to two users with no credit card. For a founder-plus-one operation that is a lot of capability at zero cost, and it is the main reason HubSpot belongs on an SMB shortlist at all.

Above that sits the Starter tier, bundling Marketing, Sales, Service, Content and Data Hub with 1,000 marketing contacts and 500 HubSpot Credits. HubSpot Credits are a separate consumption currency for AI agents and certain features, charged at ₹756 per 1,000 credits on annual billing. So the paid model is a seat price plus a metered credit spend, which is harder to forecast than a flat per-user rate.

We could not capture HubSpot's Starter seat price in rupees. The pricing page has an INR selector and does display Indian pricing, but the per-seat figure is rendered dynamically and did not appear reliably across repeated attempts. Rather than publish an unverified number or repeat a directory site's guess, we have left it out. Get the current figure from HubSpot's own configurator before you compare it with anything above.

What you get

The most capable free tier here for a two-person team, spanning marketing, sales and service rather than sales alone. World-class documentation and a very large integration marketplace. Published INR pricing for credits at ₹756 per 1,000 on annual billing. And a product most of your future hires will already know how to use.

What it's not

The free tier stops at two users, which is tighter than Zoho CRM's three and far tighter than Kylas's unlimited. Paid pricing combines a per-seat charge with metered credits, so your monthly cost moves with usage. Nothing India-specific is documented — no IndiaMART capture, no HSN-coded quotations. And we could not verify the Starter seat price in INR, which by itself makes it hard to compare honestly.

Best for: one or two-person businesses wanting capable free tooling across sales and marketing together, and companies that expect to grow into a global stack rather than an India-first one.

  1. Scoping call (free). Headcount today and in eighteen months, where leads actually come from, whether you quote, and how many people need full access versus a read-only view. That last question alone decides between per-user, flat and mixed licensing.
  2. Real cost modelling. We run every shortlisted CRM at your current and projected headcount, including the add-ons your process forces you to buy. The published rate is almost never the number you pay.
  3. Lead-source audit. We list every channel a lead currently arrives through — WhatsApp, IndiaMART, JustDial, phone, website, referrals — and check which the shortlisted CRMs capture automatically. Manual re-entry is the most common reason a CRM goes stale.
  4. Pipeline and data design. Your actual sales stages, not the vendor's defaults. Contact and company records deduplicated before migration, because importing a messy list produces a clean-looking CRM full of wrong data.
  5. Automation where it earns its place. Lead routing, follow-up reminders and quotation templates configured to remove work from reps rather than add it. This is what makes adoption stick, and it connects naturally to your wider workflow automation.
  6. Adoption review at 30 and 90 days. We check what is actually being logged against what should be. A CRM nobody updates is an expense with no return, and the fix at day 30 is far cheaper than at day 300.

What's verified — and what we won't claim

CRM pricing is among the most misreported categories in Indian software listings. Here is exactly where our figures come from.

  • Every price came from the vendor's own pricing page on 1 August 2026, in Indian rupees where the vendor publishes them, and each is linked in the sources below. Where a page needed a currency selector set to INR, we set it and read the rupee figure rather than converting from dollars.
  • The break-even and cost tables are our arithmetic, not vendor claims. Break-even is ₹12,999 divided by each per-user rate, rounded up. The 5, 15 and 50-user costs are the per-user rate multiplied by headcount. Both exclude tax, add-ons and onboarding fees.
  • We could not verify HubSpot's Starter seat price in INR and have left it blank. Directory sites quote HubSpot figures freely; those are usually US list prices presented without saying so. An unverified number would have been worse than an admitted gap.
  • Two vendors contradict themselves on their own pages, and we've said so. Kylas shows its free plan at 10,000 records on the plan card and 1,000 in the comparison table. Bigin states both that prices include local taxes and that local taxes are charged in addition. Neither is disqualifying; both are worth resolving before you pay.
  • LeadSquared is excluded from the rupee cost tables because it publishes only US dollars. Its Sales CRM pricing page quotes US$60 and US$100 per user per month with no INR option, despite the company being headquartered in Bengaluru. Converting at an assumed exchange rate would have produced a number no reader could verify, so we left it out of the tables and said why in its card instead.

Which CRM is cheapest for a small Indian business?

For a team under about fifteen people, Zoho Bigin Express at ₹400 per user per month billed yearly is the cheapest paid option on this page — ₹2,000 a month for five users. Below that, three products have genuinely free tiers rather than trials: Bigin for one user, Zoho CRM for three, HubSpot for two, and Kylas free for unlimited users with a lower record cap. Above roughly thirty-three users, Kylas's flat ₹12,999 becomes cheaper than Bigin Express even at Bigin's low per-user rate.

Is a flat-fee CRM better than per-user pricing?

Only above a certain team size, and the size depends entirely on which plan you compare. Kylas at ₹12,999 a month flat beats Zoho CRM Professional from ten users, Zoho CRM Standard from seventeen, and Zoho Bigin Express only from thirty-three. Below those thresholds the per-user product is cheaper. The flat model's real advantage is predictability — hiring five salespeople changes your bill by nothing — which matters most to businesses that expect to grow the team during the subscription term.

Which CRMs capture leads from IndiaMART and JustDial?

Of the six on this page, only Kylas documents it. Its lead management feature explicitly names auto-capture from third-party portals including IndiaMART, JustDial and TradeIndia, alongside Google and Facebook ad leads. The others may support it through marketplace integrations or custom API work, but none states it on their pricing or feature pages. If a meaningful share of your enquiries arrives through those portals, make it an explicit demo question rather than assuming, because manual re-entry from a marketplace inbox is exactly the habit that kills CRM adoption.

Can we start free and upgrade later?

Yes, with four genuine free tiers rather than trials. Kylas Embark is free for life with unlimited users. Zoho CRM's free edition covers three users. Zoho Bigin's covers one user and 500 records. HubSpot's free tools cover two users across marketing, sales and service. Freshsales offers a trial only, and LeadSquared lists neither a free tier nor a trial. Bigin and Zoho CRM both support one-click migration upward, so starting small in the Zoho family is a supported path rather than a rebuild later.

What does CRM onboarding actually cost?

Only two of the six state it. Zoho Bigin includes free onboarding on paid plans. Kylas charges a one-time ₹25,000 for customised onboarding sessions, with additional three-hour sessions at ₹5,000, online training at ₹5,000 and in-person training at ₹40,000 plus travel. Zoho CRM, Freshsales, LeadSquared and HubSpot do not itemise onboarding on their pricing pages, so ask directly. Implementation is where CRM budgets usually overrun, and it is rarely visible on the pricing card.

What is the difference between Zoho Bigin and Zoho CRM?

Bigin is deliberately limited and cheap; Zoho CRM is fuller and costs roughly twice as much per user. Bigin Express at ₹400 gives you three pipelines and 50,000 records. Zoho CRM Standard at ₹800 removes those constraints and opens up the wider Zoho ecosystem, with CPQ quoting arriving at Professional (₹1,400). The practical rule: start on Bigin if you are tracking a straightforward sales pipeline, and move up when pipeline or record limits start dictating how you work. Migration between them is one click.

Do we need a CRM if we already have accounting or ERP software?

They solve different problems. Accounting and inventory systems record what has already happened — the invoice raised, the stock moved. A CRM manages what has not happened yet: the enquiry not yet quoted, the quote not yet followed up, the customer not contacted in three months. If your team is losing deals to slow follow-up rather than to price or product, that is a CRM problem and no ERP module will fix it. The two should connect, with the CRM handing a won deal to billing.

How long does a CRM implementation take?

The software setup is days. What takes time is agreeing your actual sales stages, cleaning and deduplicating the contact list, connecting the channels leads arrive through, and building the quotation templates. For a small team with a reasonably tidy contact list, two to four weeks to a working go-live is realistic. The harder milestone is adoption at ninety days, which is a management problem rather than a technical one, and the reason we review usage at thirty and ninety days rather than declaring victory at launch.
